Tax Client Hub is a practice management portal for tax preparers. A firm’s team uses it to manage clients and prospects, collect and organise files, and move every return from the first request to final billing.
Busy firms juggle hundreds of clients, thousands of documents and many returns at the same time. They needed one secure place where every client, file and task is visible, assigned and on schedule.
The decision
We designed the portal around the tax workflow itself rather than a generic to-do list. Every task carries tax-specific fields such as tax year, service and form type (for example, Form 1040), and moves across a board that mirrors how a firm actually works: client action needed, in progress, needs review, then billing and printing. Clients, files and team assignments all link back to those tasks, so anyone on the team can see what is waiting, and on whom.
What we built
The firm workspace
taxclienthub.com- Home dashboard. A personal greeting with live counts of clients, files, tasks and client files, plus a sortable, searchable client list.
- Client management. Clients, prospects and other contacts in separate tabs, with client type, company, assigned team member and joining date.
- Team and assignments. Team members are assigned to clients and tasks, and appear on every card so ownership is never in doubt.
- Files, forms and email. A central file library with unread counts, form categories and built-in email in the same workspace.
- Secure client access. A login and sign-up portal for clients, with password recovery.
The tax workflow
- Kanban task board. Columns for client action needed, in progress, needs review and billing/printing, with priority, dates, form type and assignee on every card.
- Tax-ready tasks. Each task captures client, assignee, budgeted hours, priority, description, start and end dates, plus tax preparation fields for tax year and service.
- Checklists. Reusable checklists that keep preparation consistent across the team.
- All tasks view. A searchable list of every task with board settings and one-click export.
